Loss or Damage
Responsibility for equipment remains with the customer from delivery until returned. Please be sure equipment is secured when not in use and protected from the weather. Replacement charges are made for missing, damaged or broken items.
Damage Waiver
A damage waiver may be purchased at 10% of your total order. It does not cover loss, intentional misuse, theft, cleaning charges or mildew on linen. The damage waiver covers replacement charges due to accidental damage or breakage. You must furnish proof of breakage.

Quotes are for first floor locations. All equipment must
be ready for pickup in a single location. Tables and chairs
should be folded and ready for pickup in a protected area.
Linens should be free of food and dry toprevent staining
and mildew. Do not place linens in plastic bags, mildew
may result. All china, silver, utensils, etc. should be
wiped free of food and repacked in delivered containers.
Delivery Times
All delivery times are approximate due to traffic, and unforseen delays. Plan with sufficient time for set up in mind.
Set Up & Take Down
The set up and break down of all tents, canopies and heaters is included in the rental price. Arrangements must be made in advance for set up and take down of all other items, and will be subject to a fee.
Rental Contract Terms & Conditions
Reserving Equipment
Equipment will be reserved upon receipt of a signed contract and a deposit of 50% of total charges, this deposit can be paid by credit card, cash or check only. Client must provide THE TENT MERCHANT, INC. with final count 5 days prior to the event at which time a final invoice with balance due will be provided. THE RENTAL OF THIS EQUIPMENT IS TO THE CLIENT INDICATED ON THE RENTAL CONTRACT, FOR THE EVENT AND SPECIFIED DATE INDICATED ON THE INVOICE. EQUIPMENT CANNOT BE SUBRENTED OR USED BY OTHERS, ONLY THE CLIENT LISTED ON CONTRACT.
Credit Card Requirements
A valid credit card is required to reserve equipment, all information must be included and signature filled out at location on rental contract. Client hereby authorizes The Tent Merchant to charge credit card.
Missing or Damaged Items
Items not returned within 5 days after event are considered missing. Missing or damaged items will be charged to the credit card at replacement costs. A detailed invoice of these items will be provided to client.
Final Payment
Final payment is due 5 days prior to event, and will be made by credit card, cash or check. Final item counts are required 5 days prior to delivery, and cannot be reduced after this time. No orders will be delivered until full payment is received.
Cancellation Policies
CANCELLATION: 10-5 days prior to delivery there is a 10% cancelation fee. 4-3 days prior to delivery there is a 50% cancelation fee. 2-1 days prior to delivery there is a 75% cancelation fee. There are no refunds the day of delivery.
Site Preparation
Please be sure your site is ready, (lawns mowed, furniture moved, vehicles moved, etc.) before the crew is scheduled to arrive. If the site is not ready or accessible when the crew arrives, the client will incur an additional fee and/ or equipment may not be delivered. Client agrees to inform THE TENT MERCHANT, in writing or fax at least 5 days prior to the event, of the existence and location of any underground utilities (i.e. phone lines, cable lines, sprinkler systems, water lines, gas lines, electric lines, septic systems, etc.), or conditions that may interfere with the ability to stake and or anchor equipment. Client will assume all damages to underground utilities in absence of notice or incorrect location of utilities.
THE TENT MERCHANT WILL NOT BE LIABLE FOR ANY DAMAGES OR INJURY AT EVENT.
Delivery & Set Up
The Tent Merchant will strive to accommodate client delivery request; however, delays and changes in the schedule are sometimes unavoidable. We try to communicate any scheduling changes as they occur. All delivery times are approximate due to traffic, and unforeseen delays. Please plan with sufficient time in mind for set up. Set up of canopies, tents, dance floors, and stages require no additional fee, however an additional fee is charged for all other items, including chairs, tables, umbrellas, linens, etc. If this additional service is required please make prior arrangements, and make sure a diagram is provided showing the setup.
Clean Up & Preparation for Pickup
All floral arrangements, trash, and decorations of any kind should be removed from tent or other rental equipment before scheduled pickup time. There will be an additional charge for any items that have to be removed. All chairs and tables should be stacked in designated location as delivered. All dishes, glassware, flatware, and any other catering items, should be returned to proper rack or container dry and rinsed and assembled at designated location for pickup. Any catering item that is returned dirty (not rinsed) will incur an additional fee. Linens should be food and particle free and shaken out before being placed in laundry bags. Linens that are returned with burns, wax, holes, tears, permanently stained, wet or damp with mildew, or otherwise unusable will be billed at replacement.
Weather
Tents are temporary structures designed to handle most normal weather conditions; however, there may be situations that become unsafe such as high winds or lightning. Evacuation of tents is recommended in these or other unsafe conditions. The Tent Merchant, Inc. will not be liable for poor weather conditions or natural disasters.
Summary
RESPONSIBILITY OF THE EQUIPMENT REMAINS WITH THE CLIENT FROM THE TIME OF DELIVERY TO THE TIME OF PICKUP. Please be sure all equipment is secured when not in use and protected from weather. All collection fees, attorney fees, court costs, or any expense involved in the collections of rental charges will be the client’s responsibility. Be sure all equipment is returned according to these TERMS & CONDITIONS. The client is solely responsible for any additional charges incurred as a result of failure to meet these conditions.
